Why Do You Need A Virtual Assistant - Invoices

Hey there!

Almost all companies depend on invoices as a means of getting paid. When you first start out it is certainly okay to handle sales quotes, customer invoices and collecting payments all by yourself. But, as your company grows, the number of quotes, invoices and payments grows as well. You don’t want to forget to bill a client or collect a payment. Your bank account won’t grow if you don’t remember that!

A virtual assistant can help with that! To begin with, most virtual assistants have their own clients that they have to quote, invoice and receive payments for. They know the best tools in different industries. If your virtual assistant specializes in your specific industry, they know what billing management tool their other clients like to use and what will work for your business. If they generalize, then they have a host of knowledge about several systems and know which system will work best for you.

I have had new clients that didn’t have real systems or scheduling prompts in place. I take the time to listen to their needs, offer some suggestions and then once a system has been chosen, I add weekly, monthly and quarterly scheduling prompts to their calendar. For my own invoicing, I have set aside billing times every Friday, the second to the last day of each month and the week before the end of each quarter. Not only does that help you but it offers consistency to your customers. They can expect an invoice from you on the 1st of every month or whenever you’ve scheduled it. And, you know that by, let’s say, the tenth of each month, you will begin seeing checks come in the door.

Maybe you want to continue with the system that you’ve been using. If your system is working perfectly, you might just want to streamline it and make sure that there aren’t any mistakes. Or, perhaps you no longer have the time to handle it on your own. Having a VA on your team means that they can handle that side of your business while you spend time on growth and development.

You should always see a virtual assistants as an extension of your team. They work for you and look out for your best interest. If you aren’t sure what a VA can do for you, give us a call for a free conversation today!
